About the integration

Personio is where your HR administration lives: employee records, contracts, and absence management in one system. Shiftbase is where the daily work is planned and hours are recorded. This integration connects the two. Employees and contracts are imported from Personio, so your schedules always reflect the current team and the correct contract hours. Absence and worked hours go back, so HR and payroll work with what actually happened. You maintain a single employee record, and both systems stay up to date.

Why you should have this integration

• Your team, automatically in Shiftbase: Employees and their contracts sync from Personio every night, including departments, contract types, contract hours, and wages. New colleagues appear in your schedule without anyone having to retype a record.

• Absence visible on both sides: Absence and leave sync between Shiftbase and Personio the moment anything changes, in both directions. HR sees the same picture as the planner, and leave never gets lost between two systems.

• Hours ready for HR and payroll: Worked hours registered in Shiftbase go to Personio per shift, with date, start time, end time, and breaks. Your payroll preparation in Personio is based on registered hours rather than estimates.

How does the integration work?

Here's the lowdown:

• Employee and contract sync: Personio data syncs to Shiftbase every night. You choose which contract and employee fields come along, such as role, contract end date, contract hours, wages, and date of birth. New employees can be added automatically in the same nightly run.

• Mapping: You link Personio departments to Shiftbase teams, match contract types to each other, and map your absence types once during setup.

• Absence sync: Absence and leave changes sync right away, as soon as anything changes on either side.

• Hours to Personio: A dedicated Personio report in Shiftbase lists every worked shift per employee, with the break, date, start time and end time. You send it over with Send to Personio, and you can overwrite a period you already exported.

• Setup: Connect under Settings → App Center → Personio with a Client ID and Client secret from your Personio API token. The token needs read access to Employees, read and write on Attendances and Absence, and the Occupation type attribute. The help article walks you through every step.
