Absence management

A sick call at 6am, covered by 7am.

Your team requests absence in the app and sees their own balance. You approve from one overview and open the empty shift for someone to claim. Set up in a day, no implementation project.

Why Shiftbase?

Three things your spreadsheet doesn't keep up with.

Absence in Shiftbase sits on the same schedule as the shifts. Approve a request and the schedule changes with it. You won't plan someone in on a day they're away.

Requests and sick calls in one place.

Every pending request in one overview, with the schedule impact next to it. You approve or decline from your desk or your phone.

Balances that stay right.

Shiftbase recalculates vacation hours, plus-minus hours, and accruals from the contract. Your team checks their own balance instead of asking you.

Your team fills the gap, not you.

When you approve an absence, you decide what happens to the shift: keep it assigned, or open it up for someone to claim.

Requesting

No more calls about absence balances.

Employees pick the dates and the type of their request, and add a note if it needs one. They can see for themselves whether it's still pending or approved, and how much comes off their balance.

Approving

Approve a request in one click.

Every pending request lands in one overview with the schedule behind it: who else is working that day, and what still needs covering. Approve or decline in a tap, from the floor or from home.

Sick leave

A sick call doesn't turn into a gap in the schedule.

Sick leave goes in without an end date, the way illness actually runs. Open the shift up and your team can claim it in the app, so you're not the one ringing round for cover.

Policies and balances

Set the accrual once, per contract type.

Absence policies per contract type carry the accrual method and the waiting hours. On Premium, statutory and non-statutory balances stay split, so nobody has to remember which pot a day comes out of, and each one can be given an expiry date.

Payroll and reporting

Pay on hours that already add up.

The right surcharge comes with it into the payroll report, so nobody adds hours back by hand. Balance and request reports export as a file, or go automatically to software like Nmbrs, AFAS, or Loket.

The payroll run stepping through absence and timesheet approval, with an end-time deviation flagged

Block the weeks you can't afford to lose anyone.

Absence restrictions close off the dates that carry your year: the festival weekend, the December run. Requests for those days never reach your inbox, so you're not the one saying no.

“The system is so easy to use that people can look up their own vacation hours and sick leave themselves.”

Integrations

Works with the tools you already use.

Schedules and hours rarely stay in one place. Connect payroll, HR, and your POS, and the week you planned lands where it needs to.

See all integrations

Try it out, then decide.

Import your team, set one absence policy, and let people submit their own requests for two weeks. If you're still keeping a spreadsheet next to it, it costs you nothing.

Set up in a day.

Every feature in your plan is open from day one, no credit card needed. Your first week can be live tonight.

Runs on shifts.

If your business runs on shifts, the setup already matches how you plan. Invite your team, set it up, and run it on a real week.

Yes, in the app, with the statutory and non-statutory split if you use it. Most managers find the "how many days do I have left?" questions stop.

Mark the person absent with no end date, the way illness actually runs. Then publish their shift as an open shift for someone to claim, or hand it to someone directly.

Yes. You decide per policy what happens to a scheduled shift when the absence is approved: remove it, keep it, or turn it into an open shift.

Yes, on Premium. Dutch employers have to track wettelijk and bovenwettelijk absence apart, and Premium splits the two balances, each with its own accrual rules and its own expiry date.

No. Requests, approvals, and balances start on Basic. Custom absence types, expiring balances, and absence notifications come with Premium.

Yes. Approved absence lands on the timesheet with its surcharge and goes out in the payroll report, or through a connection to Nmbrs, AFAS, or Loket. Those connections run on the App Center+ add-on.
